General Manager — New England Philharmonic 

About the New England Philharmonic

The mission of the New England Philharmonic (NEP), a volunteer orchestra, is to foster the composition and the appreciation of contemporary classical music by performing commissions and recent works alongside traditional repertoire in concerts that engage and electrify audiences. Now in its 48th season, the orchestra annually presents four in-season performances, a Young Artist Competition, Call for Scores Competition, and New Music Readings. These programs continue to distinguish the NEP from its peers, and the orchestra continues to thrive on those moments when performers, composers, and audiences share the same time and space.

About the Position

The General Manager is responsible for all operational, financial, and marketing initiatives of the NEP. This includes the production of in-season performances, two annual competitions, New Music Readings Session, and outreach performances. Reporting to the Board of Directors, the General Manager supervises three part-time staff positions and works in collaboration with the Music Director and Composer-in-Residence to support the artistic vision and mission of the NEP.  

Roles and Responsibilities

I. Concert and Event Production

  • Lead all production tasks and responsibilities for in-season performances and one New Music Readings, in collaboration with the Music Director, Composer-in-Residence, and staff

  • Negotiate and administer contracts for all guest artists, collaborating organizations, rehearsal venues, performance venues, and additional production vendors

  • Run box office ticket sales during all in-season concerts and maintain patron records/ticket purchases for each concert in Arts People

  • Coordinate and supervise volunteers for support day-of concert work

  • Manage all aspects of both Call for Scores and Young Artist competitions, including being day-of point person for in-person competition dates

  • Serve as first point of contact for all patrons, including phone call and email

  • Assist with fundraising events and other events as needed

II. Financial Management

  • Manage all cash flow movement for the organization, including:

    • Processing invoices and bills from vendors, contractors, and venues

    • Depositing and cataloging income from ticket sales, donations, and other funding sources

  • Execute all accounting, tax filing, and financial record keeping through Quickbooks

  • Prepare and oversee an annual budget each fiscal year, in collaboration with the Board of Directors

III. Marketing/Communications

  • In collaboration with members of the Board and artistic staff as appropriate, create and execute all organizational marketing campaigns, including:

    • Concert promotion emails and social media posts

    • NEP Notes, the NEP’s monthly newsletter

    • Competition announcements for Young Artist Competition, Call for Scores and New Music Readings

    • Press releases for all larger organizational announcements (i.e. season announcement, competition winners, concert previews)

  • In collaboration with Graphic Designer, oversee the production and printing of all physical promotional materials, concert programs, and additional organizational mailings

  • Manage the updates of the NEP website for concerts, competitions, announcements, and general maintenance

IV. General Operations

  • Supervise three staff positions — Stage Manager, Personnel Manager, and Librarian

  • Plan and help coordinate rehearsals, orchestra auditions, special events, and virtual programs

  • In collaboration with the Music Director, set the annual rehearsal and concert calendar for the orchestra

  • Maintain all NEP records in Google Drive, including shared orchestra folder for all members and shared board folder for Board of Directors

V. Board Management and Development

  • Prepare financial, ticketing, development, and marketing reports for board meetings

  • Prepare donor reports and lists from ArtsPeople for general reporting and annual Fall and Spring appeals 

  • Complete necessary grant and foundation reporting, along with assisting the Board of Directors in grant/foundation proposal writing as requested

Requirements

  • Excellent organizational skills to manage multiple tasks/projects and to set priorities with deadlines

  • Excellent attention to detail and ability to exhibit problem-solving skills to make necessary adjustments quickly

  • Ability to work independently and collaboratively with a variety of partners, including artistic staff, guest artists, staff members, outside contractors, and a Board of Directors

  • Strong writing and communication skills, especially in marketing and customer service settings

  • Proficiency in Google Suite (Gmail, Google Drive, Google Sheets, Google Docs, etc) 

    • Prior experience with or willingness to learn additional applications, including NeonPay, ArtsPeople, QuickBooks, Mailchimp, and Canva

  • Experience in producing or coordinating events, especially in the performing arts setting

  • Experience updating websites and/or running social media campaigns

  • Prior experience in financial management is preferred

  • Knowledge of orchestral music and nonprofit structure is preferred

  • Enthusiasm about using this position to build skills and experience

Compensation and Schedule

The annual stipend for the General Manager is $23,000 per year. The general hours for the position are 15-20 hours per week, with additional time during the week of performances. 

While the position is remote, it requires in-person attendance at weekend dress rehearsals and concerts (4-5 per year), outreach events (2-4 per year), and Board meetings (4-6 per year). Occasional attendance at Sunday evening rehearsals (September through May in Brookline) is also recommended.
